Pole Barn Estimating Without Spreadsheets
Spreadsheets can work well for a small set of standard buildings. They get harder to maintain when you have many options, different construction rules, or several people preparing quotes.
Where spreadsheets become difficult
A workbook might calculate a basic 30-by-40 barn correctly. But what happens when the customer adds a lean-to, changes roof pitch, or chooses a larger overhead door? Each change can affect materials, quantities, and labor. Those relationships need to be built into formulas and kept up to date.
- Different employees may work from different versions of the file
- Changes to pricing can be missed in older workbooks
- Building options may require manual changes in several places
- Material lists and customer quotes can become disconnected
What changes with configuration-based estimating?
Instead of editing cells for every option, you configure the building. The software applies your company's parts and pricing rules to the selected dimensions and features. If the customer changes an opening or adds a lean-to, you can review the updated estimate and material list.
Example: a door size change
Suppose a customer changes a 10-foot-wide overhead door to a 12-foot-wide door. The change may affect the door price, framing around the opening, and header requirements. A spreadsheet needs formulas that account for all those relationships. A configured estimating system can apply the relevant rules consistently, provided those rules have been set up correctly.
Where spreadsheets still help
Excel can still be useful for price imports, analysis, and accounting. The goal isn't to eliminate spreadsheets everywhere. It's to avoid maintaining the entire building-estimating process as a collection of formulas that are difficult to check and update.
How GitEstimate fits
GitEstimate's estimating packages connect 3D building configuration, company-specific pricing, saved estimates, and detailed parts lists. We help configure your materials and rules during onboarding. The separate 3D-only plan is for building design and inquiries, not priced estimates.
